Manage Members via Settings

Introduction to Members

The Members settings allow you to manage all members belonging to an Organization. When you access the Members settings, you will see the following fields:

  1. Name - The full name of the member

  2. User Email - The email address of the member

  3. Permissions - The assigned permissions to each member. A member can be an Account Holder, Owner or a regular member.

  4. Last Seen - How much time has passed since the first activity of the day. If this extends to into days, weeks or months, it means there has been no activity since then.

  5. Actions - This is where each user can be accessed and managed


Manage Member

  1. Go to Settings

  2. Expand your Organization

  3. Click Members

  4. Click Manage on the desired user

  5. Member's Details - to edit, click on the Edit Member Details.

  6. You can add Away Periods when a member is on vacation, out of office, etc. A Palm Tree icon will appear right next to this member on the Team Chart and the member will be dimmed. To see it in effect, see View Away Periods for a Member via the new Search bar or View Away Periods on an Team Chart.

  7. Responsible Graphs - assign graphs to the member or its position, set permissions, or remove graphs for this member.

  8. Permissions - displays the member's permissions and allows you to add, modify or remove permissions for this member

  9. Graphs accessible lists all graphs which this member can access

  10. Personal Graph Groups - lists the graph groups of this this member. See Personal Graph Groups for more information.

  11. Knowledge Activity - export the member's Knowledge Activity which includes the member name, the Knowledge item, when it was assigned, viewed and completed.


Edit Member Details

  1. Choose Settings

  2. Expand your Organization

  3. Click on Members

  4. Click Manage on the desired user

  5. Click on Edit Member Details

  6. Edit the member's details

  7. Fill location details

  8. Click Choose File and upload your picture. See also TIPS & TRICKS - Ideal Avatar Dimensions.

  9. Edit Employee settings. For Status, see Organization Settings - Member Status Options.

  10. You can choose among "All Mailings", "Custom Mailings" and "No Mailings" regarding the scheduled mailings and reminders.

  11. If you choose "Custom Mailings", select the desired checkboxes to choose which email templates to subscribe to. If you don't have any options to choose from, it means you don't have any email templates created yet. To create an email template, see Create Email Templates.

  12. Choose how often you want to receive notifications: Immediately, Hourly, Daily, Weekly or Never. This option applies to all notifications.

  13. If you want to customize a specific notification, click the drop-down menu and make your selection.

  14. Set Custom Attributes. For more info, see Custom Attribute Fields.

  15. The "Restrict user to Organization" option restricts a user to a specific organization. It removes the ability for the member to create their own account using the same email.

  16. If you are using SSO (Single Sign-On) to log into MetaPulse, select this option.

  17. Click Update Member


How to Add a Member

To add a member individually:

  1. Choose Settings

  2. Expand your Organization

  3. Click on Members

  4. Click New Member

  5. Add the member's details

  6. Fill location details

  7. Click Choose File and upload your picture. See also TIPS & TRICKS - Ideal Avatar Dimensions.

  8. Add Employee settings. For Status, see Organization Settings - Member Status Options.

  9. Click Add Position to create a new position or assign an existing position to this member

  10. You can choose among "All Mailings", "Custom Mailings" and "No Mailings" regarding the scheduled mailings and reminders.

  17. You can send an invitation email to the member once the member is added in MetaPulse or leave it unchecked to send it later. The member would need to click on the link in the email to get access in MetaPulse.

  18. Click Add Member


Resend Invite Links

  1. Choose Settings

  2. Expand your Organization

  3. Click on Members

  4. Click resend invite

  5. If a Member has successfully logged in, there will be no resend invite option and the invite link will no longer work. The Member needs to login via metapulse.com. If they have forgotten their password, they can use the Reset Password feature.

Show or Hide Archived Members

  1. Choose Settings

  2. Expand your Organization

  3. Click on Members

  4. Click Show Archived. Click again to Show Active Members.


How to Import Members in Bulk

  1. Go to Settings

  2. Expand your Organization

  3. Choose Members

  4. Click Import Members

  5. Download Sample CSV file and populate it with your member details

  6. Choose file you want to import

  7. Click Start Importing

  8. The status of the import will be displayed. Also, here you can see all your previous imports.

TIP: For all date fields, we recommend using YYYY-MM-DD format to avoid any issues.

You will be emailed confirmation of import. Note, depending on the file size, it can take a few minutes to complete.

View Previous Imports

  1. Go to Settings

  2. Expand your Organization

  3. Choose Members

  4. Click Import Members

  5. Click View Previous Imports

  6. All previous imports will be displayed


How to Archive or Remove a Member

  1. Go to Settings

  2. Expand your Organization

  3. Choose Members

  4. Click Manage on the desired user

  5. Click on Edit Member Details

  6. To archive a member, scroll to the bottom and choose Archive Member - this method will automatically archive the graphs assigned to this member. If there were graphs assigned to the member's position, they will not be archived. (Note: Objectives and positions need to be manually changed. Objectives can be deleted or reassigned when you delete or remove the members from their positions on the team chart.)

  7. To remove a member choose Remove Member - this is only possible if the member has no assigned graphs, objectives, positions and events.

Restore an archived member

  1. Go to Settings

  2. Expand your Organization

  3. Choose Members

  4. Click Show Archived

  5. Click Restore on the desired user


Sign in as Another Member

Signing as another member helps debug issues. This feature is useful for in-house MetaPulse Administrators. Keep in mind these two rules:

  1. Only Account Holders and Owners can sign in as another member.

  2. You cannot sign in as another member who is an Account Holder or Owner.

  2. Expand your Organization

  3. Choose Members

  4. Click Manage on the desired user

  5. Click Sign in as member's name
