Learn how to use Knowledge Team View

Teams Summary

Only those with Knowledge assignments for team members permission can view Teams which allows you to manage the study assignments for all members and monitor their progress.

The Teams summary gives you a quick summary for the progress of all members combined:

  1. Click on Knowledge

  2. Click on Teams (requires Knowledge assignments for team members permission to view)

  3. This is the selected Team. You can select a different Team by using filters.

  4. Teams tells you how many other Teams are nested under the selected Team. In this case, there are 5 in total: 4 nested Teams + the selected Team and 3 members in total in these Teams.

  5. This section lists 3 categories: Overdue, Not Overdue, Complete and Bonus Complete. Overdue refers to how many assigned Knowledge items have not been completed on time. Not Overdue refers to how many Knowledge items are assigned to the members. Complete is how many Knowledge item assignments have been completed and Bonus Complete refers to studied Knowledge items that were never assigned and do not apply to their position.

    NOTE: If you click on any category, it will filter all assigned Knowledge items by that status.

  6. The Pie Chart provides a colored display of the percentages for each category on the right.


Using Filters

Filters provide a way to check the progress of a specific Team, Knowledge Item or the Subject (category) in which the Knowledge Item belongs:

  1. Click on Knowledge

  2. Click on Teams (requires Knowledge assignments for team members permission to view)

  3. If you have more than one Organization, select the proper one.

  4. You can group the results by Team or Member

  5. The Team Chart filter is available only if you have more than one Team Chart. It allows to filter by a specific Team Chart.

  6. The Teams filter lets you select a specific Team or the whole organization. In this example, we selected the whole organization.

    NOTE: You can also find a specific Team by typing a member's name. It will automatically show the member's Team.

  7. You can search by a specific Member

  8. You can also filter by Member Status: Permanent, Contractor, Intern, Trial, etc.

    You can select a single or multiple options in this filter.

  9. The Assignment Status filters by Incomplete, Unstarted, Started, Not Overdue, Overdue and Complete assignments.

  10. The Subject filter allows you to search by the subject or category in which the Knowledge item belongs to, such as Marketing, Sales, HR, etc.

  11. The Knowledge item filter allows you to search by a specific Knowledge item

  12. Click Update

  13. It will provide the results

NOTE: You can use one or more filters at the same time.


View Member Knowledge Progress

  1. Click on Knowledge

  2. Click on Teams (requires Knowledge assignments for team members permission to view)

  3. If you have more than one Organization, select the proper one.

  4. Select the member

  5. It will show up the member. Click on the arrow to expand the member.

  6. It will list all member's assignments


Changing Organization

If you have more than one Organization, you can choose a specific Organization:

  1. Click on Knowledge

  2. Click on Teams (requires Knowledge assignments for team members permission to view)

  3. Click the Organization drop-down menu and select the needed Organization


Knowledge Item Assignment Progress (Teams)

To view the progress of the study assignments for all members:

  1. Click on Knowledge

  2. Click on Teams (requires Knowledge assignments for team members permission to view)

  3. If you have more than one Organization, select the proper one.

  4. You can use the filters to find specific Knowledge items

  5. The Teams summary gives you a quick summary for the progress of all members combined.

    NOTE: If you are using the search filters, the summary results will change based on your search. Also, if you click on any of the listed categories: Overdue, Not Overdue or Complete, it will filter all assigned Knowledge items by that status.

  6. Expand your Organization

  7. Once you expand your members, you will see each member's progress, if they viewed, started and completed an item.

Bulk Study Assignments

You can assign Knowledge items to multiple members in bulk:

  1. Click on Knowledge

  2. Click on Teams (requires Knowledge assignments for team members permission to view)

  3. If you have more than one Organization, select the proper one.

  4. You can use the filters to find specific members. Click Update.
    โ€‹NOTE: If you want to assign Knowledge items to a Guest, you can select the Guest from the Member filter.

    If you are not using the filters, you can skip this step.

  5. Click on Bulk study assignments

  6. Expand the Organization and the members

  7. Select the members

  8. Select a Knowledge item

  9. Click Add. You can add more Knowledge items, if needed.

  10. You can select a deadline from a calendar. This is optional.

  11. You can also specify the reason for the assignment. This is optional.

  12. Click Send Study Assignments
    โ€‹NOTE: When the members complete the study assignment, an email notification will be sent to the person who assigned these items to the members.


Remove All Manual Assignments from Members

  1. Click on Knowledge

  2. Click on Teams (requires Knowledge assignments for team members permission to view)

  3. If you have more than one Organization, select the proper one.

  4. You can use the filters to find specific members. Click Update.

  5. Click on Bulk study assignments

  6. Select the members

  7. Click Remove Manual Assignments. This will remove all manually assigned Knowledge items from the selected members. Click OK.
